4/30/2026 Sramen - see chatter: our scheduling team will be in touch with some earliest dates. (maybe as early as middle of May). The project will take ~4 days, with installation and stabilization of temps. and CO2 on day one, and IOQ on days 2-4. The incubators will not be available during this time and will be sealed/taped shut for mapping purposes. 

I will also be shipping some of our mapping tools and equipment direct to your site and will follow up with tracking information when a date is finalized.

I'm going to loop in @Jason Lindberg, as he'll be better equipped to answer your questions. I can answer some now though.

At your convenience, please confirm:

•             Make, Model and Serial Number of the equipment to be serviced.

·                    The Incubators are VWR 76628-490 (double) and 76628-492 (single). @Jason can probably provide the serial numbers.

•             Set Point Temperature and CO2 levels required. 

·                     Temp: 37 +/- 1 *C CO2: 8 +/- 1%

•             Is the equipment received and onsite? Can you provide an approximate timeline for receipt? 

·                    The single incubator has been received but is not installed. The double incubator has been ordered and @Jason can confirm when it will arrive. 

•             Is there transport available (pallet jack/cart?) to move the unit from the uncrate/unpack area to the final lab location? 

·                    I believe there will be a pallet jack and cart on site. 

•             Is there a laboratory source of water with funnels/tubing etc. near the installation location? (For water-jacketed incubator).

·                    Yes, lab water is available in the room and funnels/tubing can be provided.

•             Can you provide us with some photos of the existing single unit? Including the CO2 tank, lines, regulator, and install location?  

·                    The single unit has not been installed yet. It is packaged in it's crate in the warehouse adjacent to the lab space.

•             Does your facility have any special requirements for which we should be aware? Parking? Security Access etc? 

·                    You will need to contact @Jason or myself on the days you are performing the install and IQ/OQ for access to the facility. We can coordinate this once we have the dates booked.

•             Can you provide us an on-site contact/phone number for this service at 14620 NE North Woodinville Way, Woodinville, WA 98072?

·                    The install will actually occur in our facility at 8415 216th St SE, Woodinville, WA 98072 . Jason and I will coordinate an on-site contact for you when we settle the install dates.

•             This service will take approximately 4 full days. Can you please provide your preferred dates of service?

·                    @Jason Do we have a date range? I can make anything work once the incubators are in the warehouse.

Additional notes -

Here is our approximate timeline for this service: 

•             Installation, filling and connection to CO2 will take about 1 day with overnight temperature and CO2 stabilization.

•             Calibration and IOQ will continue for the following 3 days, and the incubators will not be available during this time.

•             Cancellation within three business days of scheduled service date will result in a $750 cancellation fee.

I know that the incubators will need to meet the following setpoints:

Temp: 37 +/- 1 *C

CO2: 8 +/- 1 %

Humidity: 80 +/- 5 %

Matt and Jason, thanks for your email. We are in the process of planning this installation and drafting our IOQ (mapping) protocol. 

We will need the SN’s of all three units to finalize the IOQ protocol. Please provide those as soon as the equipment is onsite. Any photos or information about your current space and setup for CO2 cylinders/regulators/tubing/connectors would also be very helpful. 

Additionally, I would like to request on-site assistance for the installation. One of the units is quite heavy (approximately 640 lbs.) and will need to be placed on top; we estimate that up to 4 people may be required to safely complete this task. 

On the day after installation (to allow for overnight stabilization) we will calibrate each unit at the requested ranges below.

Temp: 37 +/- 1 *C

CO2: 8 +/- 1 %

Humidity: 80 +/- 5 %

Lastly, I would like to clarify the scope of the incubator mapping portion of the study (IOQ). The interior mapping will include temperature and humidity measurements only. CO2 will not be included as our mapping equipment does not have the capability to measure CO2.  We are planning to map temperature and humidity of each unit at four locations, front/back/left and right of each unit.

Hi Matt, thanks for your questions. Yes, we can qualify one chamber loaded and the other two empty. We will need to go a few hours longer to allow the loaded chamber (and contents) to come to temperature for testing but that is no problem. Which unit do you want to be loaded? I will re-write that empty chamber mapping section to include the loading of one chamber and send an updated protocol.   

To measure and calibrate the CO2 we use a Vaisala Instrument: Carbon dioxide probe GMP221. (calibration form attached). The Valsala instrument is calibrated to known standards from 0 to 10% CO2 and in a wide range of temperatures and humidities and is traceable to NIST standards.  Calibration of your incubators will be done at 8% CO2, and will include ‘As Found’ values comparing your equipment displays to this known reference, and ‘As Left’ values, verifying that each unit meets and matches the specifications.  At that point, the CO2 can be monitored during the qualification in real time, using the display interface. (It is recommended to calibrate the units like this annually).      

How is your CO2 tank and setup (tubing/connectors) progressing? Any photos of your site placement and setup will help us plan our visit. I am also coping our assigned technical team for their information. 

I will update the protocol and get this to you by early next week.

Jason, the images look great and the space looks good for the incubators and CO2 cylinder/regulator. I think at least 3 people may be needed to assist with the lifting for this installation and we appreciate this help! 

Attached is our revised protocol showing a LOADED chamber in the middle incubator, with added time for equilibration and stabilization. There is a pre-approval signature page 4 that you should sign after review/approval and send (that page) back to us so we can get this on the schedule!
